Flathead 4-H Foundation Minutes May 15, 2025

Held at the Expo Building at the Flathead County Fairgrounds.

Board members present: Wally Sutton, Kristi Davis, Sandy Evenson, Joselyn Hawbaker, Lesley Hawbaker, Carol Olson-Erickson, Jill Kahanek, Ashli Darrach, Emily Hall, Mark Campbell, Shelly Turner, Christinia Kaupp, Ashley King-Jones.

Board members absent: Scott Hinkley, Sandy Evenson, Rose McIntyre, Mark Blasdel

Meeting called to order at 6:00 pm

Pledges led by  - Emily Hall

Secretary's report:  New board member Shelly Turner - got us a cook, Montana Service Co-op works with non profits, may give discounts for difference things - HVAC, food, etc.

Wally Sutton moved to accept minutes with corrections. Kristi Davis seconded the motion. Motion passed.

Treasurer's report -  Mark will give a quick update and will give a full update every other meeting. Money went to an electric upgrade. Kristi Davis moved to accept the treasurers report. Ashley King-Jones seconded the motion. Motion passed. 

Taxes - Kristi Davis got uploaded and found 2022-2023 updated, taxes hopefully current and up to date. 

Brick:  Orders in, placement this spring, 34 bricks.

Raffle: Tickets out to most clubs.

4-H Council: Shooting sports will be on ZSuite, new sign up process.  FLSO also sent out an email.

Camp report:   Sun Downer was fun, had a great turn out. Got some new contacts for help with camp. Check out Bif Fork Eagle News.  48 new mattresses ordered. Mark Campbell moved for Loon Lake Camp and the Foundation for $25.00 fee for the 4th of July parade in Bigfork. White, black, grey, green Polo/button shirts. Shelly looking into options. 

Scholarships: Scholarships handed out - 6 applicants, 6 awarded. Help with grants.

Old Business- Livestock funds transferred to the team. Got stuff in from meeting. Name tags from Phil will be $5 a piece with 10% discount added.  Tshirt expenses discussed for camp. 24 shirts total for a discount.
Gifts for the mixer, 4 clubs to put something together. Lux Bain received money for her robotics trip.

New Business -  Mike Twillmann and fencing. Mark got the rest of the fence, split rail, cost $3,200.  Bill for the rest. Mark Campbell moved to pay $1700 for the balance for the split rail fence. Ashley King-Jones seconded the motion. Motion passed.  NBC spots, 2 for one commercial spot $500-$1000 and $1000 - $2000. Public service announcements. Will keep in thoughts, not moving forward at this time. Production as of Board Members - Liable for not getting sued insurance, conflict of interest. Shelly Turner mentioned about maybe having 8th grade trips to camp. Grant stuff-  Great Fish - 7190 volunteer work hours. Working on grant application.

Flathead County 4-H Foundation Scholarship Application

Scholarship opportunities:

Four - $500 scholarships for Graduating High School Seniors

            (Must be an active Flathead 4-H member in good standing)

Two - $500 scholarships for Current College / Trade School Students

(Must have been an active Flathead 4-H member in good standing upon graduation from high school)

Please check the box for the scholarship you are applying for.

All scholarships must be used during the 2024-2025 academic year.

Please complete this scholarship form in its entirety. Typed answers are preferred. You may attach additional sheets of paper if your answers exceed the space allowed. Applicants must be currently attending or plan to attend a college, trade school, or other institution of higher learning during academic yr 2024-2025.

A complete scholarship application packet must include the following:

• scholarship application
• letter of reference from a 4-H Leader
• summary/resume of your 4-H accomplishments (i.e. projects, awards, trips, events, activities, etc.)

The complete scholarship application packet must arrive (not postmarked) at the Flathead County Extension Office no later than 4:30 pm Thursday, May 30, 2024.

Scholarship applications must be mailed or hand-delivered to:

Interviews will take place after the May 30th, 2024 deadline. The Foundation will contact you to schedule a date and time.

Flathead 4-H Foundation is excited to

announce an opportunity to affirm your

place and provide a legacy for the

future at the Flathead County Fairgrounds!

Make your mark in the walkway that leads into the Grandstand Building. Have your family name, a 4-H member’s name, your business or organization’s name engraved in a brick on the walkway. You could even choose to engrave a brick in honor of someone special or create a family treasure for generations to come. We have lots of people that have spent much of their life in and around 4-H over the years and many have come through the grandstand building on their way to a livestock sale, or in support of one of their family members involved in 4-H. So honor your special friend, loved one, or family member with a commemorative engraved brick that will last forever in the walkway to the Grandstand building. Placement of the engraved bricks on the ground will be random.

Duties of the Board of Directors
1. The duties of this board shall be to care for the affairs of the Foundation during periods between regular meetings of the Foundation. The Board of Directors shall keep an accurate record of its proceedings and report same to the members at the next regular meeting.
2. The Board shall authorize such expenditures as are herein provided for.
3. To assist in securing finances for the Foundation.
4. Board of Directors shall have a minimum of four meetings a year.
